Executive summary. Submission due dates, payer response windows, approved-service windows, and appeal deadlines are four different timers with four different consequences.
Definition
Authorization timing control is the monitoring of date-bound obligations and validity periods within a prior-authorization workflow.
Name each clock
A submission deadline governs when the request must be sent. A payer turnaround target governs when to follow up. An approval validity period governs when the service may occur. An appeal deadline governs whether review rights survive.
Store the timezone and the source whenever a deadline is calculated. A date inferred from an informal note will not hold up when somebody asks where it came from.
Escalate based on consequence
Escalate with enough lead time for the next responsible person to act, rather than at zero. Different urgencies deserve different response paths.
When a deadline is missed, record the miss and its outcome. Hidden late work keeps the root cause invisible.
Frequently asked questions
Does an approval always apply to a changed service date?
Not necessarily. Review the payer decision and the applicable rules, since a date or service change can affect validity.
